Which sessions should I attend?
The IADR/AADR/CADR General Session & Exhibition is designed to provide a variety of sessions to suit the diverse interests of dental researchers, university instructors, dental practitioners, dental students, industry representatives and anyone with an interest in dental, oral and craniofacial research at every career level. To help you plan your General Session activities, descriptions of the types of sessions offered, as well as specific information about this year’s program, are provided in the meeting app and also the printed Program Book (which is inside of your meeting bag). You can use the meeting app to sort by keyword or IADR Scientific Group/Network to narrow down sessions of interest.

Where can I find the locations of the session rooms?
All Oral Sessions, Symposia and Hands-on Workshops as well as the Distinguished Lecture Series will take place in the Vancouver Convention Centre West. Upon checking in at the IADR Registration Counters, you will receive a Program Book that lists all the session locations. The session rooms are also listed in the meeting app. The IADR Registration Counters are located in the Foyer on Level 1 of the Vancouver Convention Centre West.

Where can I find the abstracts?
Abstracts can be viewed within the General Session App or on the online scientific program.

I am having issues with the app. Where can I get help?
For support contact Zerista Support within the app or visit zerista.zendesk.com. Zerista Suport can help with downloading and navigating the app, setting up your profile, password retrieval and general technical support. If you are having issues logging in be sure to check the following before contacting Zerista support:

  • 2016, 2017 and 2018 IADR or AADR meeting attendees should use the same username and password.
  • If you pre-registered for the 2019 General Session, check your email for an invite to the app.
  • If you registered onsite and did not attend an IADR or AADR meeting between 2016 and 2018, you can create a new account.

I’m attending the IADR/AADR/CADR General Session to give an oral presentation/symposia – where do I check or turn in my presentation slides?
All oral and symposia speakers should visit the Speaker Ready Room, located in Room 108 in the Vancouver Convention Centre West to review their presentations. The Speaker Ready Room will be open during the following hours:

I’m attending the IADR/AADR/CADR General Session to present a poster, do I need to check in? When do I set up/take down my poster?
Yes, you should plan to check in at the IADR Registration Counters and receive your meeting materials (badge, meeting bag and Program Book).

Poster presentations will take place on the Exhibition Level in West Exhibition Hall B on the following dates:

How do I collect my continuing education credits and/or print my certificate of attendance for the IADR/AADR/CADR General Session?
Computers to log your Continuing Education (CE) credits and also print your certificate of attendance for the IADR/AADR/CADR General Session will be located in the Registration area. All CE credits must be entered online. If you do not have time to visit these computers while at the General Session, the link to log CE credits and print certificates of attendance will be available on the website at www.iadr.org/2019iags after the meeting.

Where and when can I pick up my materials for the IADR/AADR/CADR General Session?
Meeting badges and session tickets will be available upon check in at the IADR Registration Counters in the Foyer on Level 1 of the Vancouver Convention Centre West. Onsite registration hours are listed below:

General Session attendees are encouraged to visit the exhibit hall to meet the IADR exhibitors and learn the science and technology behind their products. Meeting badges are required to gain entrance to the Exhibit Hall.

Can I take photos of posters or slides in sessions?
Due to the sensitive nature of unpublished research findings, taking photographs and audio or visual recording of oral sessions, including PowerPoint slides and other projected images or poster presentations is strictly prohibited.

Audio and video recordings are strictly prohibited without the written permission of the IADR Global Headquarters. IADR does not permit the photography or electronic capture of scientific sessions in meeting rooms or the Exhibit Hall, including photographing colleagues against the backdrop of scientific posters on display without the expressed consent of the presenting author(s).

Any photographs or filming of sessions made by IADR are to enable a formal record of the proceedings and may be used in news reports or future promotional material by IADR. IADR will not allow third parties to use IADR material. If you have any queries about this then please speak to a member of staff at the meeting

What is appropriate attire for the IADR/AADR/CADR General Session?
Attire for the General Session is business casual. Appropriate wear includes a light jacket, sweater, turtleneck, open-collar or no-collar tops, slacks and comfortable shoes. It is suggested you have a sweater with you since the temperature may be cold in some meeting rooms.

Will there be a coat/bag check available?
A coat/bag check will be available for General Session attendees on the Exhibition Level near the Exhibition & Poster Hall entrance Exhibit Hall, located in West Exhibition Hall B, and will be open during the hours listed below:

My family will be attending the IADR/AADR/CADR General Session with me, can they come to the sessions?
Spouses and guests are welcome to register for the General Session as accompanying persons. Accompanying persons are non-dentists, non-researchers, non-IADR members who may be traveling with a meeting delegate and who have no scientific or educational interest in the meeting. Meeting delegates' students, lab technicians, colleagues, past IADR members, co-authors, dental product company employees, etc., do not qualify as accompanying persons and are required to pay the appropriate registration fee if they wish to attend.

Accompanying persons are not eligible to receive Continuing Education credits and will not receive a certificate of attendance for the meeting.

If your accompanying person wishes to hear your presentation, he or she must register and pay a $55 fee and receive a special color-coded ribbon on site. The ribbon will admit an accompanying person to for one day of the meeting only and will not be honored at any other time during the meeting.

Anyone who wishes to attend more than one day of the meeting is considered to have more than a "personal" interest in dental research and will be required to pay the appropriate registration fee.

Children under 18 years of age may attend the meeting at no cost provided they are accompanied by a registered delegate at all times. Children may access the Exhibit Hall and poster sessions, but may not attend oral sessions (including Symposia, Hands-on Workshops and Lunch & Learning events). A complimentary accompanying person badge must be requested onsite at the IADR Registration Counters.

Do I need to be a member of the IADR Scientific Group/Network to attend their business meeting?
No, all attendees interested are encouraged to attend IADR Group/Network business meetings.

What is the Healthy Meeting Policy?

1. Purpose

As the leading professional association dedicated to dental, oral and craniofacial research, the International Association for Dental Research (IADR) works to promote the improvement of oral health worldwide and serve as an exemplar of the latest evidence promoting oral as well as overall health.

To that end, the IADR Board of Directors and staff have made a commitment to promoting fitness and wellness and to providing healthier alternatives for food and beverages at all IADR meetings.

2. IADR Healthy Meeting Policy Overview

IADR will implement the following policies at IADR-funded meetings and events to encourage healthy behavior at our meetings. In doing so, IADR hopes to create a culture of health and wellness that – in addition to promoting oral and overall health – fosters healthier behaviors and choices.

This policies guide for IADR meetings is intended to encompass nutrition, tobacco-free space, physical activity and sustainability. IADR staff will negotiate available options with each destination and venue, as needed. Furthermore, IADR will periodically evaluate its healthy meeting policies and adjust them as needed to reflect acceptability of policies or to enhance the healthfulness of choices.

*IADR developed the following healthy meetings policy largely relying on the National Alliance for Nutrition and Activity’s Healthy Meeting Toolkit,1which is adhered to by several organizations working toward a healthy meeting environment for their employees and members.

The Policies herein have been developed specifically for IADR meetings and events.

a. Sugar-Sweetened Beverage Policy

Research has shown that the consumption of sugars has a direct impact on a person’s oral and overall health. Sugar intake – particularly in the form of sugar-sweetened beverages – has a correlation to a range of health issues, including dental caries, energy levels, obesity, and Type 2 diabetes, among others.

Implementation:

  • Sugar-sweetened beverages will not be purchased by IADR for meetings, including IADR-funded events, such as receptions and luncheons.
  • Fluoridated water will be served at all water stations throughout IADR meetings, where available.
  • IADR will ensure that low-fat and non-fat milk are served with coffee and tea in addition to half and half.
  • IADR will encourage other groups holding ancillary meetings during the IADR Annual Meeting to adopt a similar policy.

b. Water Refilling Stations

IADR will provide water refilling stations whenever possible and will encourage attendees to carry personal water bottles. When available, IADR will provide fluoridated water.

c. General Food Policy

Foods served at meetings and conferences are too often high in fat, added sugars and sodium. Coupled with the limited amount of time allotted to physical activity at meetings and conferences, those foods are not conducive to a healthy work environment. Therefore, IADR will work to offer healthier food options to help create a higher-energy meeting environment that supports our members and their ability to eat well and be active.

Implementation:

  • IADR will offer fruits and/or vegetables every time food is served.
  • IADR will place healthier foods and beverages in prominent positions, where they are more likely to be seen and chosen.
  • IADR will provide vegetarian, gluten-free and vegan meal options.
  • IADR will not serve candy or have candy readily available for attendees at its meetings.
  • When possible, IADR will offer reasonable portion sizes and/or limit dessert sizes.
  • IADR will offer whole grain options.

d. Smoking Policy

Smoking and inhaling secondhand smoke are hazardous to individuals’ health. In addition to the role that smoking and secondhand smoke inhalation play in causing cardiovascular disease and lung cancer, cigarettes and chewing tobacco are also harmful to oral health, resulting in negative possible impacts, such as gum disease and oral cancer. Similarly, vaping, the act of inhaling and exhaling the aerosol produced by e-cigarettes or similar devices, is still being evaluated for health risks, though a growing body of evidence indicates that the chemicals may be dangerous.

Implementation:

  • IADR Annual Meetings and other IADR-funded events are all designated as tobacco-free, non-smoking (including tobacco cigarettes and e-cigarettes) events. IADR will make every effort to ensure that all meeting spaces and IADR event-associated venues are smoke-free.
  • IADR will host conferences in cities with comprehensive smoke-free policies that include restaurants and bars.

e. Fitness and Wellness Policy

Meetings and conferences generally include little opportunity for physical activity and typically involve a lot of time sitting, which leads to reduced concentration and energy levels.

Implementation:

  • IADR will encourage attendees to continue their regular exercise routines as well as to move regularly throughout the day, including within the meeting space by standing, stretching, etc.
  • IADR will encourage panelists to periodically break up sitting time.

f. Sustainability Policy

Healthy meetings practices can also minimize the negative impact that meetings and conferences can have on the environment.

IADR would like to move toward more sustainable “green” practices that will reduce waste and implement reuse and recycling techniques. This change will be gradually introduced over time, since members expect to receive materials like the IADR Annual Meeting program book in hard copy.

Implementation:

  • IADR will have recycling bins available for meeting attendees and staff at all times.
  • IADR will reduce waste and packaging whenever possible.
  • IADR will make handouts available online in an attempt to reduce paper consumption.

What is the IADR Professional Conduct at Meetings Policy?

1. Purpose
The International Association for Dental Research (IADR) aims to be inclusive to the largest number of contributors, with the most varied and diverse backgrounds possible. As such, we are committed to providing a friendly, safe and welcoming environment for all, regardless of gender, sexual orientation, ability, ethnicity, socioeconomic status or religion.

The IADR Professional Conduct at Meetings Policy outlines our expectations for all those who participate in the IADR/AADR/CADR General Session & Exhibition as well as the consequences for unacceptable behavior.

We expect all participants of the IADR/AADR/CADR General Session & Exhibition to create safe and positive experiences for everyone. “Participant” in this policy refers to anyone present at the IADR/AADR/CADR General Session & Exhibition, including staff, contractors, vendors, exhibitors, venue staff, members and all attendees.

2. Expected Behavior
We expect all participants at the IADR/AADR/CADR General Session & Exhibition (attendees, members, vendors, exhibitors, contractors, staff and venue staff) to abide by this IADR Professional Conduct at Meetings Policy in all venues at the IADR/AADR/CADR General Session & Exhibition, including ancillary events and official and unofficial social gatherings.

  • Exercise consideration and respect in your speech and actions.
  • Refrain from demeaning, discriminatory or harassing behavior and speech.
  • Be mindful of your surroundings and of your fellow participants.
  • Alert community leaders if you notice a dangerous situation, someone in distress or violations of this IADR Professional Conduct at Meetings Policy, even if they seem inconsequential.

3. Unacceptable Behavior
Unacceptable behaviors include:

  • Intimidating, harassing, abusive, discriminatory, derogatory or demeaning speech or actions by any participant at the IADR/AADR/CADR General Session & Exhibition, at all related events and in one-on-one communications carried out in the context of the IADR/AADR/CADR General Session & Exhibition. The IADR/AADR/CADR General Session & Exhibition event venues may be shared with members of the public; please be respectful to all patrons of these locations.
  • Harmful or prejudicial verbal or written comments or visual images related to gender, sexual orientation, race, religion, disability, age, appearance or other personal characteristics.
  • Inappropriate use of nudity and/or sexual images in public spaces (including presentation slides).
  • Deliberate intimidation, stalking or following.
  • Harassing photography or recording.
  • Sustained disruption of talks or other events.
  • Unwelcome and uninvited attention or contact.
  • Physical assault (including unwelcome touch or groping).
  • Real or implied threat of physical harm.
  • Real or implied threat of professional or financial damage or harm.

Exhibitors in the Exhibit Hall, sponsor or vendor booths or similar activities are also subject to the IADR Professional Conduct at Meetings Policy. In particular, exhibitors should not use sexualized images, activities or other material. Booth staff (including volunteers) should not use sexualized clothing, uniforms, or costumes or otherwise create a sexualized environment.

Be careful in the words that you choose. Harassment committed in a joking manner still constitutes unacceptable behavior. Remember that sexist, racist and other exclusionary jokes can be offensive to those around you. Excessive swearing and offensive jokes are not appropriate for the IADR/AADR/CADR General Session & Exhibition. Retaliation for reporting harassment is a violation of the IADR Professional Conduct at Meetings Policy.
Reporting harassment in bad faith is a violation of the IADR Professional Conduct at Meetings Policy.

4. Consequences of Unacceptable Behavior
Unacceptable behavior from any participant at the IADR/AADR/CADR General Session & Exhibition, including attendees, sponsors, exhibitors, contractors, volunteer leaders, vendors, venue staff and anyone with decision making authority, will not be tolerated.

If a participant engages in unacceptable behavior, IADR reserves the right to take any action IADR deems appropriate. IADR reserves the right to remove an individual from the IADR/AADR/CADR General Session & Exhibition without warning or refund, to prohibit an individual from attendance at future IADR meetings and to notify the individual’s employer of the action taken.

5. If You Are Subject to or Witness Unacceptable Behavior
If you are being harassed, notice that someone else is being harassed or have any other concerns, please tell a member of the IADR staff immediately. Staff can be contacted from the registration counters. All complaints will be treated seriously and responded to promptly. If your safety is threatened, please contact venue security. All reports are confidential.

If possible, provide the following information, preferably in writing:

  • Identifying information (name/badge number, appearance) of the participant doing the harassing.
  • The behavior that was in violation.
  • The approximate time of the behavior (if different than the time the report was made).
  • The circumstances surrounding the incident.
  • Other people involved in or witnessing the incident.

The IADR staff are trained on how to deal with the incident and how to further proceed with the situation. If needed or requested, staff will help participants contact venue security or local law enforcement, provide escorts or otherwise assist those experiencing harassment to feel safe for the duration of the IADR/AADR/CADR General Session & Exhibition.

6. Addressing Grievances
If you feel you have been falsely or unfairly accused of violating this IADR Professional Conduct at Meetings Policy you should notify the IADR Board of Directors with a concise description of your grievance. Your grievance will be handled in accordance with our existing governing policies.

Is there a lactation room?
IADR provides a private space for nursing mothers. The lactation room is located on Level 1 near the First Aid Room. If you have any questions or special requests, please contact the IADR Meetings Department onsite or via meetings@iadr.org to discuss your requirements.

Is there a prayer room?
A dedicated prayer room is available on the Exhibition Level across from West Exhibition Hall C. If you have any questions or special requests, please contact the IADR Meetings Department onsite or via meetings@iadr.org to discuss your requirements.
